AI Applications Transforming the MICE Industry

The first public version of ChatGPT, based on the GPT-3 model, debuted in November 2022. This marked a significant shift in the MICE industry, as it introduced new opportunities for automating and enhancing communication, research, and content creation, streamlining processes for professionals across the sector. Yes, it’s already been two years!

Since then, its capabilities have continued to evolve. Hopefully, you’ve also been exploring the possibilities offered by various AI-powered applications. Today, I’d like to introduce you to some tools that utilise recordings and voice functionalities, which are particularly valuable in our sector.

ChatGPT Application

Initially, ChatGPT was only accessible via a web interface, but it eventually became available as an official app. This transition significantly enhanced accessibility for MICE professionals, enabling on-the-go usage during events, meetings, and travel. With its app interface, users could seamlessly access its conversational capabilities, making it an even more versatile tool for managing tasks, generating ideas, and communicating effectively across diverse scenarios. It quickly became an indispensable tool for me, particularly for processing and editing text.

However, its standout feature is conversational capability. It’s like having an intelligent assistant available at all times. The app allows me to ask questions and receive immediate answers, like interacting with Ameca, the humanoid robot at the Copernicus Science Centre in Warsaw.

Conversations with ChatGPT are also a great way to practise English communication, as the best results are achieved in its English-language version. This is invaluable for professionals in the MICE industry, where international collaboration is often key. You can download the app here ChatGPT app for iOS and Android.

Fireflies AI

This discovery has been a real time-saver for me in recent months! I’m a big fan of this app – and it turns out, I’m not the only one. Recently, I used it during the IMEX America trade show in Las Vegas. The app allows you to record audio, but that’s where the real magic begins. Beyond transcribing conversations, it creates concise summaries, highlights key topics, lists details in bullet points, and even assigns tasks to the participants of the conversation.

At the Polish booth, I recorded my 30-minute meetings, of course, after obtaining the consent of my conversation partners. I explained which app I was using and why – and for those unfamiliar with it, I invited them to join the experiment. To my pleasant surprise, five people were already familiar with and using the app.

For anyone conducting multiple meetings at trade shows, such a tool is invaluable. It allows you to fully focus on the person you’re speaking with, actively listen, and respond precisely to their questions without the need to take notes or break eye contact. Additionally, I have the assurance that everything will be recorded.

What’s important is that after processing the recording, I receive a summary, key points, and follow-up tasks from the conversation. This makes post-event follow-ups quick and efficient. Fireflies AI can also be integrated with other apps like Asana, ClickUp, or Microsoft Teams. I use it to record live meetings, but it can also be used for online meetings on platforms like Zoom, Google Meet, Teams, or Skype.

The app works well in Polish and many other languages too; you just need to set the correct language before starting the recording. Fireflies AI also created an excellent summary of the 30-minute session “The 2025 Tech Wave” led by Julius Solaris during IMEX. The app has both a free and paid version and is definitely worth the subscription cost.

Snapsight by Gevme

At large events, Snapsight is becoming a popular tool for capturing and summarising panel discussions in real-time. It records sessions, creates summaries, and generates a cloud of key topics discussed by experts.

Together with Sina Bunte, we tested Snapsight during the Spotlight on Poland conference in Wrocław. It helped me produce a comprehensive summary and final report for the expert panel titled “Tourism in the Era of Artificial Intelligence.” Like many tools, Snapsight offers a free trial, making it worth exploring.

NotebookLM by Google

This free tool from Google enables users to process documents, and audio files, and even create podcasts. When I uploaded the PDF version of THINK MICE magazine in English, which was distributed at IBTM World in Barcelona, the application transformed dozens of pages of content into a concise text summary. By asking questions, both my own and those suggested by the AI, I was able to delve deeper into the material and analyse its contents in greater detail.

What impressed me most about Google’s NotebookLM was its ability to generate a 26-minute conversation between two individuals based on the uploaded magazine content. The result was an engaging podcast that explored international trade fairs, highlighted the most significant past and upcoming congresses in Poland, discussed industry trends, and even included an interview with the magazine’s featured guest.

Did the tool work as effectively with Polish-language content? To find out, I uploaded the PDF version of the 2024 Meetings and Events Industry Report by POT, set a few recording parameters, and listened to a fascinating podcast. If I were American, I would have described this podcast as insightful and compelling. It presented numerous intriguing facts, portraying Poland as a destination worthy of serious attention.

Both podcasts sounded remarkably natural in English, with an American accent. The dialogue was dynamic and avoided the impression of being generated by computerised voices. There was interaction—complete with interjections, questions, and enthusiastic expressions like “wow” and “awesome.” As the report was analysed, the speakers discussed data and trends, even quoting key expert opinions. The listening experience was excellent.

The only noticeable drawback was the pronunciation of Polish names and acronyms, such as MICE or ICCA, which posed some challenges. However, this minor issue didn’t detract from the overall quality of the podcasts. The results were truly impressive, and I highly encourage you to try NotebookLM for free. It is a remarkable tool that delivers exceptional outcomes.
